The Geneva International Film Festival (GIFF) explores the links between cinema, series and digital. Every year in Geneva, during 10 days in early November, it offers a series of experiences around image, sound and new forms of narration: screenings, interactive installations, VR works, conferences, live performances. The GIFF is also active throughout the year, notably in the promotion of Swiss cinema and digital culture.

In order to complete its permanent team, GIFF is looking for a :

Administrative Coordinator 60%.

Essential elements of the contract :

  • Permanent contract
  • Rate of activity: 60% annualized
  • Remuneration: according to the GIFF Foundation’s salary scale
  • Workplace: Maison des Arts du Grütli, 16 rue du Général Dufour – 1204 Geneva
  • The administrative coordinator assists the Deputy Director in charge of operations in his or her administrative, accounting and fundraising tasks throughout the year.


  • Assists the Deputy Director in the proper administrative conduct of the GIFF Foundation
  • Assists the Deputy Director in the follow-up of the Foundation Board meetings (convocations, taking of minutes, etc.)
  • Participates in the elaboration and drafting of various reports and applications for funding from public corporations, private foundations and private companies


  • Entering (Cresus software) and archiving all accounting documents and expense reports for the annual activities of the GIFF Foundation
  • Participates in the closing of the annual accounts (preparation of the audit, edition of the lists of creditors and debtors, transitory accounts, etc.)


  • Management of cash and receipts during the festival
  • Management of payments and invoicing
  • Participates in the follow-up of the annual budget

Human Resources

  • Creation and updating of personnel files
  • Drafting of work contracts, edition of pay slips (Cresus Salaries), work certificates and salary certificates, unemployment certificates, etc.
  • Management of administrative requirements related to human resources (withholding tax, work permits, social charges, BVG announcements, etc.)
  • Detailed follow-up of working hours, salaries and expenses
  • Welcoming new employees (sending documents in advance and welcoming them in the offices)


  • Participate in the management of the office, the commissary and the good maintenance of the common spaces
  • Participates in the management of computer equipment and software in collaboration with the IT manager and the administrator

Desired profile :

  • Rigor, sense of initiative and responsibility, excellent organization
  • Good writing skills
  • Ability to work with numbers
  • Availability and ability to respond to the needs of a team
  • Ability to work as part of a team and to withstand the stress of the event industry
  • High availability (evenings and weekends) during and shortly before the Festival
  • Interest in culture
  • Proven experience in administration
  • Knowledge of accounting and payroll
  • Knowledge of Cresus software is an asset
